Privacy Policy

Effective date: 18 August 2026 · Version 1.0
Pre-launch notice: TransCastAI is in development. Customer checkout and payment collection are disabled.

1. Who we are

This site and the TransCastAI applications are provided by TRANSCASTAI LTD (“we”, “us”), company number 17397706, whose registered office is 1 Harewood House, London, Greater London, United Kingdom, SW15 3RN. We are the data controller for the personal data described here. Questions: privacy@transcastai.com.

2. Our privacy promise — your content stays on your device

TransCastAI is private by default. Transcription, offline translation and read-aloud run entirely on your device — your audio, documents, transcripts and translated text are not sent to us. We handle only the commercial and control-plane data needed to sell, license, support and update the software, plus optional features you explicitly enable.

3. What we collect, and why

DataWhy / lawful basis
Name & email (at purchase)Deliver and manage your licence, send transactional emails (licence, renewal reminders, security). Contract / legitimate interest.
Payment & billing detailsNot collected. TransCastAI is currently in development and has no payment provider or customer checkout. If this changes, this policy will name the provider before payments are enabled.
Licence & device-activation data (licence ID, edition, expiry, activation/seat count)Validate licences and enforce seat limits. Contract.
Support correspondence & CRM record (HubSpot)Answer enquiries and manage the customer relationship. Legitimate interest.
Website analytics & chat (HubSpot cookies)Improve the site and offer live chat. Consent (loaded only after you accept cookies).
Server / security logs (Cloudflare)Serve and protect the site. Legitimate interest.
Marketing emails (if you opt in)Product news & offers. Consent — separate, optional, withdrawable any time.
Stable install IDA random identifier generated on your device (no hardware fingerprinting) to activate a licence, enforce seats and service update/model requests. Contract / legitimate interest.
Update-check dataWhen you manually check, or enable automatic checks, the app sends its version, operating-system version, architecture, approximate RAM, Mac model, licence reference and stable install ID. This selects a compatible app and the components already licensed for that Mac. No document, audio, transcript or translated text is included. Contract / legitimate interest.
Optional domain-usage countsIf you explicitly enable “Share anonymous domain-usage counts”, specialist domains are classified on-device and aggregate counts are sent with the date, selected target language and stable install ID. Source text is never sent. Consent; off by default and switchable off in Settings.

4. Optional online features (you choose)

The offline translation core does not require the internet. These features can use the internet when you choose them:

Read-aloud (text-to-speech) is fully on-device and uses no network. Any corrections you make to improve translations are saved privately on your device and are never uploaded to us.

5. Cookies

We use only essential browser storage needed to remember your privacy choice and operate the site. With your consent we may also load HubSpot for analytics and live chat; HubSpot may then set cookies for those purposes. Nothing non-essential loads before consent. You can change your choice at any time through Cookie settings in the footer. The consent control identifies the optional provider and purpose before it is enabled.

6. Who we share data with (processors)

We use these providers only for the purposes described above and never sell your personal data.

7. International transfers

Some providers may process data outside the UK. Where a restricted international transfer occurs, we use an applicable lawful transfer mechanism and assess the provider’s safeguards. You can ask privacy@transcastai.com for further information about the safeguards used for your data.

8. How long we keep it

We keep licence and transaction records while a licence is active and, where they form part of company tax or accounting records, for up to six years from the end of the financial year to which they relate. We normally keep enquiries and support correspondence for up to 24 months after the last meaningful contact, unless an unresolved dispute, security incident or legal obligation requires longer. Marketing contact data is kept until you withdraw consent; we may retain a minimal suppression record so we honour that choice. Security logs and optional aggregate telemetry are reviewed periodically and deleted or anonymised when no longer needed. We review these periods at least annually.

9. Your rights

Under UK GDPR, and EU GDPR where it applies, you may have rights to access, correct, erase, restrict or object to processing of your personal data, to data portability, and to withdraw consent at any time. To exercise these, email privacy@transcastai.com. You also have the right to complain to a supervisory authority; in the UK this is the Information Commissioner’s Office (ICO).

10. Children

TransCastAI is not directed at children under 18 and we do not knowingly collect their data.

11. Changes

We may update this policy; material changes will be notified and the version/date above updated.
